Advancement Coordinator

The Advancement Coordinator (AC) is an integral part of MAC. This position requires a high level of collaboration and solution-oriented mindset, as well as flexibility, attention to detail, and a strong commitment to do whatever it takes to get the job done right. Wearing several hats, the AC is a key member of the Advancement Team and directly reports to the Director of Strategy and Innovation. The AC works approximately 16-20 hours weekly, being onsite at MAC two days/week and for all school-wide events. (Days to be mutually determined with Director of Strategy and Innovation.)

  • Executing tasks as directed by the Director of Strategy and Innovation, including but not limited to:
    • Drafting, editing, and sending emails, filing, keeping all development records in Bloomerang, scheduling meetings, supporting the Annual Campaign, supporting PMAC, reporting development data for the advancement dashboard, sending thank you and tax letters
    • Creating a database for alumni and grandparent contacts
    • Giving occasional admissions tours to prospective families
  • Participating in Advancement Team meetings:
    • Managing agenda and maintaining meeting notes
    • Following up with team members on any action items
  • “Owning” all aspects of every MAC event, including but not limited to: Fall Festival, MAC Community Nights (two), Gala, Parent Insight Series (three), Community Nights (four), and Parent Workshops (two - four)
    • Coordinating the calendar with the Director of Operations
    • Maintaining and sticking to event budget
    • Providing all event-related communication to the Communications Director
    • Tracking RSVP’s
    • Coordinating childcare, if applicable
    • Procuring all supplies
    • Setting up and cleaning up (or delegating clean up as appropriate) all for events
    • Coordinating with presenters and speakers ensuring all communication and scheduling meets event goals
    • Utilizing the event planning spreadsheet and event production timeline when needed
    • Coordinating roles and responsibilities of all event volunteers
    • Overall Gala planning and event execution, including diligent procurement of gala auction items
    • Sending post-event surveys as appropriate
