Admissions and Enrollment Coordinator

Job Title: Admission and Enrollment Coordinator
Department: Admissions Office
Supervisor’s Title: Director of Admissions
Employee Classification: Exempt
Salary: $42,000 - $46,000

Essential Responsibilities:

  • Manage School Admin Software
    • Create Financial Worksheets for new students
    • Collaborate with Business office
    • Transition students between communities
    • Upload and maintain Annual Health Appraisals for students
    • Run reports to capture data
    • Update pertinent information for families (authorized pick-up, edits to addresses, etc)
    • Communicate with families about outstanding enrollment forms (will change if/when forms move to Transparent Classroom)
  • Manage Transparent Classroom
    • Account setup for new families
    • Transitioning students from one classroom to another
    • Update immunization records (if we want to use this tool)
    • Assign students Enrollment forms as necessary (remind parents to complete paperwork at least one week prior to start date)
    • Partner with teachers to track outstanding/incomplete forms
    • Track forms in order to stay compliant with annual licensing requirements
  • Recognition for families enrolling and transitioning
    • Greeting new families with MAC gear on their first day
    • Follow up with families 1-2 weeks after start date to ask how things are going/offer to answer questions
    • Communicating with Parent Ambassadors about students transitioning in and out of the classroom (provide template to welcome new students and celebrate transitioners)
    • Create and facilitate transition feedback forms
    • Work with Elementary team to create an “admissions package” for students who will be graduating/applying elsewhere
  • Manage Student Files
    • Organize and track physical child files (would love to reorganize the physical files if we are required to have them)
    • Document and maintain compliance for Annual Health Appraisals and Immunizations
  • Participate in team meetings
  • Assist in managing re-enrollment and getting contracts from families and forms updated
  • Weekly admissions updates to administration
  • Attend transition meetings with Program Directors to coordinate transitions and class placements
  • Communicate with families, lead teachers and program directors about transitions
  • Conduct/participate in tours of the schools
  • Attend ACIS Admissions-related meetings
  • Track programming for students (before- and after-school)
  • Initiate and complete follow up communications, such as emails, personal notes, and phone calls with the timing and touch that exemplifies extraordinary customer service
  • Serve as a MAC ambassador
  • Attend all MAC community events
  • Work in partnership with the Director of Admissions and Enrollment to create a seamless Inquiry to Enrollment process
  • Serve on committees and task forces as requested by the Head of School and/or Director of Strategy and Innovation (such as Staffing Committee, DEI Task Force, etc)
  • Continue HR DEI work to eliminate implicit biases and encourage diversity
  • Maintain updated class lists for classrooms (with authorized pick up and program information)

Education and Experience

  • Bachelor’s degree required
  • Experience in an educational setting preferred
  • Minimum of three years of experience in enrollment management
  • Demonstrated ability to communicate, solve problems, and maintain effective relationships with all members of the school community
  • High level of interpersonal skills to handle sensitive and confidential situations and information
  • Ability to plan, organize and work independently with minimal direction
