GUIDELINES FOR ATTENDEES
At the Gala
1. All registered attendees should check-in upon arrival. Tickets can be purchased by credit card at the event for $75 per person. You will receive a nametag and a bidder number upon registration. You cannot bid on an item without a bidder number.
2. The auction catalog will be available prior to the event. Additionally, auction items will be highlighted through this web site (be sure to check back for updated items), e-mails, the school newsletter, and the Montessori Academy of Colorado (MAC) Facebook page.
3. There is an option of pre-swiping your credit card when you check in. Pre-swiping will significantly expedite the check out/item collection process at the end of the night for winning bidders. For that reason, WE ENCOURAGE ALL ATTENDEES TO PRE-SWIPE THEIR CREDIT CARDS AT CHECK IN. Your card will not be charged until you have an opportunity to review your invoice at the end of the evening. Please review your invoice prior to leaving the event. If you have pre-swiped your card but do not win any items in the Silent or Live Auction, your card will not be charged.
4. The Silent Auction items are displayed in category types on tables throughout the auction venue. Within each category, bid sheets are displayed on colored construction paper. These auction items will close at different times during the event, so be sure to bid before the category closes!
5. Each item has a corresponding bid sheet. The value of the item, the minimum bid, and the minimum raise are all noted on the bid sheet, as well as any pertinent item restrictions. Please read all restrictions thoroughly prior to bidding. There are no refunds! Multiple or top bidder items are explained on bid sheets.
6. To place a bid, print your bidder number clearly on the sheet next to the printed bid amount. Your name is optional but is useful in the event a bid number is transposed. You may raise your bid as often as you like using the predetermined bid raises listed. Raises must, at a minimum, increase by the increments noted on the individual bid sheet for each item; bids which increase by less than the stated minimum raise will be disqualified. Some items have a "guaranteed bid amount" which allows you secure the item at a percent particularly higher than the value.
7. In the event there is active bidding on an item at the close of each silent auction section, an auction volunteer or the event auctioneer may declare a “bidding war”. This will allow continued bidding on that item until only one bidder remains. If there is a bidding war for an item, only those bidders whose bid numbers have previously been entered on the bid sheet will be allowed to participate.
8. Once the winning bid has been determined for each item, an auction volunteer will circle the winning bid in red, will remove the top two bids sheets and the merchandise is deemed sold. All sales are final; there are no refunds or exchanges.
9. Unless otherwise noted, all gift certificates expire one year from the auction date.
10. In the Live Auction, a raised bidding paddle will signify a bid. Make sure the “Auction Spotters” note your bid, and that your bid is confirmed by the auctioneer.
11. The Auction Committee had endeavored to catalog and describe the auction items accurately. However neither the Auction Committee nor the MAC represents or warrants the correctness or accuracy of any description, or the genuineness, authorship, provenance, or condition of any items. All items are sold as is and with all faults and with no warranties of merchantability or fitness for any purpose.
12. If an item does not sell the night of the Auction, it then becomes property of MAC.
13. If an item sells for more than the fair market value, the difference is deductible as a charitable donation. Please check with your financial advisor for specific information.
14. The Check Out process will begin upstairs after the Live Auction. First, you will need to pick up your invoice. Those who have not pre-swiped their credit cards at Check In will then proceed to a payment station. At this time, items may be paid for by check or credit card. If you have pre-swiped your credit card, simply review your invoice for accuracy and proceed to the item pick up area. The only item that will not show up on your invoice at the end of the night is any amount pledged during the "Bid for a Kid" portion of the Live Auction. (You will get a final invoice in your parent folder at school the following week with this amount included.) We ask that you pay for and retrieve all items from the item pick up area on the night of the Gala.
15. If for some reason an item is not picked up or not paid for, it will be available at MAC the following week.
